Using the Missing Tasks Worksheet
How do I use the Missing Tasks Worksheet to find what my advocates haven't done?
As a supervisor, you know what your advocates are doing because they tell you. It's harder to see what they're not doing. The Missing Tasks Worksheet shows which cases are missing critical case information, so you can follow up with the right advocate.
Step 1: Find your active cases
- Go to Casework > Case Detail.
- Enter Search Mode.
- In the Current Status field, search for Active Vol or ACTIVE.
- In the Supvr ID field, select your name.
- Perform the find to narrow the list to your cases.
Starting from Volunteer Detail instead?
- Go to Volunteer Detail and search for your Green Advocates (Active Advocates).
- Select the View As icon (the binoculars) and perform the find.
- Open the Missing Tasks Worksheet and follow the same steps below, just as you would from Casework > Case Detail.
Step 2: Open the worksheet
- Click the View As icon (the binoculars) in the toolbar.
- Under Worksheets, select Missing Tasks Worksheet.
Step 3: Choose what to check
- Enter a Start Date and End Date. Both are required.
- Set your data points by pairing each Activity Type with a Contact Type. These are the tasks you expect your advocates to complete. You can:
- Build a one-time set without saving a template.
- Create a new template with the + to reuse with a new set of records.
- Choose an existing template under Select a Template.
- Select Continue.
Step 4: Review what's missing
The review screen lists each child's case with the advocate assigned. Purple boxes mark the tasks that haven't been done in your date range.
Step 5: Email each advocate
- Select the blue Email button on an advocate's row. The email lists the children and the tasks still missing for your date range.
- Add your own message if you'd like. You can also attach a file, such as a case update form.
- Select Send. Your own email program opens so you can review the email before it goes out.
The sent email is saved in the Sent folder of your email, such as Outlook, Gmail, Yahoo or Apple Mail.
Tip: Run the worksheet regularly. Reminders keep advocates engaged and focused on their responsibilities to their CASA/GAL children, so you get key case updates on time.
