How to Set Up and Flag My VOCA/OVA Children

How to Accurately Assign and Report on VOCA/OVA Children

*Tip: For the purposes of this article, VOCA and OVA refer to the same grant, due to differences by states, but CasaManager's terminology only includes VOCA. Don't be alarmed if you do not see OVA in CasaManager.

If your agency receives Victims of Crime Act (VOCA) aka OVA (Office of Victim Assistance) funding, CasaManager tracks it through the Grant field on each child's record. Your VOCA reports only count children whose Grant field is set to VOCA. We call this being "flagged as VOCA."

Step 1: Make sure VOCA is in your grant list
You can check in either of two places:

  • Customize: From your Home screen, go to Customize, then Value Lists. Search for "grant," open the Grant list and look for VOCA.
  • Casework: On a child's Case Detail screen, open the Grant field and choose Edit Value List.

If VOCA is missing, choose Edit Value List, scroll to the bottom, click Add Line Item, type VOCA in all caps and click Done.

Good to know:

  • If you don't see Edit Value List, your administrator has turned it off for staff. Ask them to add VOCA for you.
  • You can't edit a value list from a closed case, including one closed as Never Served.
  • Some states use their own VOCA values. Check with your leadership about which one your agency should use.
Step 2: Flag each child as VOCA
  • New children: When you add a child, set Type of Grant to VOCA on the Referral Info tab.
  • Existing children: Go to Casework, open Case Detail and set the Grant field to VOCA.
Tip: Open Case List to see every child in a family, or your whole caseload, in one view. It's the fastest way to spot a sibling who isn't flagged. To bring up a child's siblings, use Find Siblings in the Action menu.

Step 3: Find children who are missing VOCA
Use a Quick Field Search:
  1. Click the search icon to enter Find mode.
  2. In the Grant field, type an equal sign (=). This finds records where the field is blank.
  3. Click Perform Find, then open Case List to see the results.
  4. Set the Grant field to VOCA for each child who should have it.
To find all of your current VOCA children instead, enter Find mode, set Current Status to Active Vol and Grant to VOCA, then perform the find.

Step 4: Export your list to Excel (optional)
  1. From your list of children, click Export.
  2. Add or remove fields, and use the arrows to put them in the order you want.
  3. Check Include field column names. Save the layout as a template if you'll use it again.
  4. Click Export, give the file a name and change the type to Comma-Separated Text. It defaults to tab-separated, which won't open correctly in Excel.
  5. Click OK, then download your file.
