Applying VOCA Services to Children

How to Add VOCA Services on Children's Records

The VOCA Info button is your shortcut for entering all of a child's Victims of Crime Act (VOCA) data in one window: special classifications, victimization types and services.

Before you start: The child's Grant field must be set to VOCA. The VOCA Info button only appears on children flagged as VOCA, so you can't accidentally log VOCA services for a child who isn't in the grant. See How do I set up VOCA and flag my VOCA children?

Add VOCA details and a service

  1. Go to Casework, open the child's Case Detail and click VOCA Info. It is the blue button located directly under the Grant Date Field.
  2. Under VOCA Special Classification, check any that apply.
  3. Under VOCA Victimization, check each victimization type that applies to this child.
  4. Click Add New VOCA Service.
  5. The date defaults to today. Change it if the service happened on another day.
  6. Choose the service type, then the subtype. These lists come from your agency's own value lists, so yours may look different from other agencies'.
  7. Enter the quantity, then add a note. You can type it or paste it in, for example from an email your volunteer sent you. Long notes scroll inside the box.

*Tip: Quantity refers to the number of services, not the time spent.

Special classifications and victimization types also appear on the child's Family/Child record, on the Concerns/VOCA tab. It's the same information, so you can update it in either place.

Share a service with siblings

If a volunteer's visit covered more than one child, you don't need to enter it again on each sibling's record.

  1. While still on the service, click Share.
  2. Filter the list by family, case name, petition number or case group.
  3. Click each sibling you want to share with. Selected names turn dark blue. The child you're working on is grayed out.
  4. Click Save. The shared children and their status appear in the window. If you picked the wrong child, click the X to remove them.

The shared service keeps the same date, type, quantity and note on each sibling's record. For example, one home visit with two children counts as a quantity of one for each child.

Forgot to share? Open the service and click Share/Edit to add siblings later.

Important: Victimization types and special classifications don't carry over when you share a service, because they can be different for each child. Check them on each sibling's record.
